Receive applications online or at the counter
Publish a shareable application form linked to a specific intake period and grade level, or open it for walk-in families captured by admissions staff. The form collects the candidate’s personal details, previous school, guardian contacts, and any supporting documents the school requires. Every submission lands in the same pipeline regardless of channel, so nothing is managed in a separate spreadsheet.
Manage intake periods and capacity
Create intake periods for each academic year with open and close dates and a target capacity per grade. The system warns when a grade approaches capacity so you can close applications or create a waiting list before the intake is oversubscribed.
Screen candidates and schedule interviews
Review applications against your entry criteria, shortlist candidates for entrance assessments or interviews, and record interview slots and outcomes against each applicant’s file. Rejection or progression is captured with a reason so the decisions are documented.
Issue offers and track acceptance
Generate offer letters for successful candidates with a deadline to accept. The parent receives the offer by email or SMS and confirms acceptance in the portal, which updates the applicant’s status automatically. Outstanding acceptances are surfaced as a list so nothing lapses unnoticed.
Allocate students to classes and streams
Assign accepted candidates to a class, stream, and boarding status as part of intake. The allocation view shows current headcount per class so you balance numbers across streams before enrolment is confirmed.
Run the enrolment checklist through to completion
Each new student carries a structured checklist — birth certificate submitted, medical form completed, fees deposit paid, uniform collected. Staff tick items off as they are done, and the student is only marked fully enrolled once every item is resolved. Nothing goes missing in a busy intake week.
Assign student numbers and hand off to records
On enrolment completion a permanent student number is issued and the student’s full record — profile, guardian contacts, and intake documents — moves seamlessly into the Student Records module. There is no re-keying; the admissions record becomes the live student file.
