Maintain complete staff profiles

Store each employee’s personal details, qualifications, teaching subjects, professional registration numbers, and emergency contacts in a structured profile. Documents — certificates, ID copies, appointment letters — attach directly to the staff file so everything is in one place when you need it for inspection or reference.

Record employment contracts and designation history

Create employment contracts with start dates, contract type, designation, and salary grade. Promotion and regrading are recorded as new contract entries, preserving the full designation history so reports and references can state what role a staff member held at any point in time.

Manage leave with cover planning

Staff apply for leave through their portal; their line manager approves or rejects with a reason. When a teacher’s leave is approved, the system surfaces the classes that will need cover and lets the timetable administrator assign a substitute — keeping the academic schedule intact without a frantic phone call.

Track time and attendance for support staff

Record clock-in and clock-out times for non-teaching staff, compute hours worked against their scheduled shifts, and flag unauthorised absences. The attendance data feeds into payroll so support staff are paid correctly for actual time worked.

Configure salary structures and allowances

Build salary structures that combine a basic pay component with allowances — housing, transport, professional development — and define deductions such as NSSF, PAYE, and savings cooperatives. Structures are assigned to salary grades so regrading a staff member automatically applies the right package.

Run monthly payroll

Process payroll for all staff in a single monthly run. The engine computes gross pay, applies statutory deductions based on the current tax tables, and calculates net pay. Any adjustments — advances, arrears, or one-off deductions — are captured before the run is finalised.

Publish payslips to the staff portal

On finalisation, payslips are published to each employee’s portal view. Staff see their gross earnings, itemised deductions, and net pay for the month, and can download prior payslips at any time. There is nothing to email or print; payslips are available the moment the run is approved.
