Employee Lifecycle
From first day to final settlement — every record in one place.
Managing people well requires more than a spreadsheet of names. Hitaji ERP keeps a rich, structured record for every employee: their personal and contact details, employment history, contracts, designations, reporting lines, documents, and status. HR teams can onboard new hires in minutes, action transfers and promotions without losing history, and run a thorough exit process when someone leaves — all auditable, all accessible under role-based controls.

Onboard new hires with a structured checklist
Converting an accepted offer to an employee takes one action — the onboarding checklist then guides HR and the new hire through documentation, account setup, asset assignment, and induction steps. Nothing is left to memory or email chains. The checklist is configurable so different roles or departments can have their own required items.
Maintain rich employee profiles
Each employee record holds personal details, contact information, emergency contacts, banking details for payroll, and custom fields your organisation needs. Profiles are the single source of truth that payroll, leave, and attendance all draw from — so there is no re-keying when circumstances change.
Set employment contracts and terms
Define an employment contract per employee covering their type (permanent, contract, casual), start date, probation end, notice period, and which salary structure applies. When terms change — a contract renewal or a change of employment type — a new contract version is created and the history is preserved.
Organise departments, branches, and designations
Structure your workforce with a configurable department hierarchy, branch locations, and designation catalogue. These are the master data other modules use: payroll cost centres map to departments, leave reports group by them, and org-chart views are built from reporting lines.
Action transfers and promotions
When an employee moves department, changes designation, or is promoted, an employment action records the change with its effective date and reason. The old position and terms are not overwritten — they are versioned — so the full employment history is always retrievable for audits, reference letters, or disputes.
Manage employee documents
Attach contracts, ID copies, academic certificates, and any other required documents directly to the employee record. Each document type can be marked as required, and expiry-tracked documents surface a reminder before they lapse — so work permits and professional licences do not slip through.
Run a thorough offboarding and exit settlement
When an employee resigns, is terminated, or retires, an exit checklist drives the handover: asset recovery, system access revocation, exit interview, and final settlement computation. The settlement record calculates what the employee is owed — outstanding salary, leave encashment, and any applicable gratuity — and feeds directly into payroll for the final pay run.
